Fightbase is committed to protecting the privacy of everyone who uses our platform — fighters, promoters, gym owners, and fans. This policy explains what data we collect, why we collect it, and how we keep it safe. We've written it plainly so it's actually readable.
1. Information We Collect
We collect information you provide directly, as well as some data generated by your use of the platform.
Account Information
When you register, we collect your name, email address, and password (stored as a hashed value — we never see it in plain text). You may also provide a profile photo and a brief bio.
Fighter Profile Data
For fighters, we store professional information relevant to the sport: fight record (wins, losses, draws, no-contests), weight class, fighting style, gym affiliation, and nationality. This data forms the core of the Fightbase database and is visible to other users by default. You control what you publish.
Usage Data
We collect standard server logs including your IP address, browser type, pages visited, and timestamps. This helps us diagnose issues and understand how the platform is used. We do not build advertising profiles from this data.
2. How We Use Your Information
We use the information we collect for the following purposes:
- Maintain the fighter database — your fight record and profile data power the public directory that makes Fightbase useful.
- Facilitate event management — promoters use the platform to find fighters, manage fight cards, and coordinate events. Your public profile helps this process.
- Platform communications — we send transactional emails (account verification, password resets, event invitations) and occasional platform updates. You can opt out of non-essential emails at any time.
- Safety and integrity — we use account data to detect fraud, enforce our Terms of Service, and protect users from abuse.
- Platform improvement — aggregate, anonymised usage data helps us understand which features to build and fix.
3. Information Sharing
We do not sell, rent, or trade your personal data to third parties. Full stop.
We may share information in the following limited circumstances:
- Event promoters — when a fighter applies to an event or a promoter invites a fighter, relevant profile information (record, weight class, availability) is shared with that promoter as part of the matchmaking process.
- Gym owners — if you are a fighter affiliated with a gym, your gym owner can see your profile data for roster management purposes.
- Service providers — we work with a small number of trusted third-party services (database hosting, email delivery) that process data on our behalf under strict data processing agreements.
- Legal obligations — we will disclose data if required by Malaysian law or a valid legal process, and we will notify affected users where we are legally permitted to do so.
4. Data Security
We take security seriously. Your data is transmitted over HTTPS and stored on servers protected by industry-standard access controls and encryption at rest. Passwords are hashed using a modern, salted algorithm — we cannot recover your password, only reset it.
No system is perfectly secure. If you suspect your account has been compromised, contact us immediately at privacy@fightbase.co.
5. Your Rights
You have the following rights over your personal data:
- Access — you can request a copy of all personal data we hold about you.
- Correction — you can update your profile data at any time from your account settings. For corrections to fight records submitted by third parties, contact us directly.
- Deletion — you can request deletion of your account and associated personal data. Note that fight record data tied to public events may be retained in anonymised or aggregate form for historical accuracy.
- Objection — you can object to specific processing of your data by contacting us.

6. Malaysian Law & PDPA Compliance
Fightbase operates under the laws of Malaysia. We comply with the Personal Data Protection Act 2010 (PDPA), which governs the processing of personal data in commercial transactions in Malaysia.
Under the PDPA, we are required to obtain your consent before processing your personal data, use your data only for the purposes stated in this policy, and take reasonable steps to protect your data from misuse or unauthorised access.
By creating an account on Fightbase, you consent to the collection and processing of your personal data as described in this policy.
7. Cookies
We use essential cookies only. These are strictly necessary for authentication and session management — without them, you cannot stay logged in. We do not use tracking cookies, advertising cookies, or third-party analytics cookies.
You can disable cookies in your browser settings, but doing so will prevent you from using authenticated features of the platform.
8. Changes to This Policy
We may update this policy as the platform evolves. For material changes — those that significantly affect how we use your data — we will notify all registered users by email before the changes take effect. The updated date at the top of this page will always reflect the most recent revision.
Continued use of Fightbase after a policy update constitutes acceptance of the revised terms.
